GLOSSARY: Poppy Report Types

Below is a complete list of reports and details around what data is being looked at and examples of why you may use this report.

Store Operations Reports

  • Daily Payments – See all payment transactions taken on a specific day.
  • Appointments – See all scheduled and cancelled appointments that have been made within Poppy.
  • Customer Balance – See all sales transactions created in a specified period of time with a balance due.
  • Customer Received – See all all items pending customer pickup with their received date and sold price.
  • On Hand Quantity – You are now able to extract a list of all inventory items in your store along with a quantity count, Stock Price and Inventory Cost.
  • Purchase Order Summary – See all open PO’s by Order Date and/or Estimated Ship date. This report will also display the original order cost and the wholesale balance due on those PO’s
  • Discontinued/Unavailable Items – See all discontinued or unavailable special order items in this report, including information of when the item was received, last sold and how many you currently have in-stock.
  • Received Report – Full list of all items received into your store, see data on when they were shipped vs when they were received. Have the ability to filter by timeframe, department, vendor and order type.

Payroll Reports

  • Timesheets – View employee clock-in & clock-out times and the sum of hours worked for any given date range.
  • Tips – See all tips for all payment types run through Poppy’s Point-of-Sale by associated employee
  • Sales by User – See all sales broken out by individual user for any given date range.

Accrual Based Accounting Method Reports

  • Cost of Goods Accrual – Showing your cost of goods for items that are service type, sold out of stock and special orders that have been picked up within a certain date range.
  • Sales Realized – Shows taxable sales for a given time period which includes all items sold from inventory, service fees (items marked as service in store item setup), shipping fees, additional fees, cancellation and booking fees. This report also shows special order items picked up by your customer for the period of time selected in the report. 
    • Note: Special orders are done at the item level based on the pickup date as opposed to waiting for a full transaction to be picked up for more accurate accounting and no need for the store to manually “complete” anything.
  • Sales Tax Liability Accrual– Showing your tax liability at a summary or detail view for a given period of time. This report will pull all items sold from inventory, service fees (items marked as service in store item setup, shipping and additional fees), booking and cancellation fees and Special Order items that have been picked up by your customer for the period of time selected in the report.
    • Note: Special orders are done at the item level based on the pickup date as opposed to a transaction level for a more accurate accounting. If you have items that are non taxable it will also show those for you.

Cash Based Accounting Method Reports

  • Cost of Goods – See your cost of goods for a given period of time. This report is for those using a cash method accounting or would like to save for orders placed. It will give you all items that are sold in a period of time, which will include all items sold from inventory, all service fees (items marked as service in store item setup) and all special orders.
    • Note: Cost of goods will be $0 for anything sold out of inventory as that amount was accounted for when you purchased your inventory.
  • Sales Tax Liability – Showing your tax liability at a summary or detail view for a given period of time. This report will pull all items sold from inventory, service fees (items marked as service in store item setup, shipping and additional fees), booking and cancellation fees and Special Order items at the time of sale for the period of time selected in the report.
  • Sales by Vendor/Department – See all taxable sales in a specified period of time and can be filtered by department, vendor or sale type. 
  • Payment Journal – See all sales orders with corresponding payments taken against them, along with the amount of taxable sales tax and the sales tax amount taken on each payment. To make your life easier come end-of-month, you have the ability to filter based on date range.

Sales Analysis

  • Budget vs. Spend – Shows data on your sales, what the customers budget was, how much the purchased bridal gown was, as well as, the total sales were. You are able to filter by sale date or event date to see the average budget for a period of time, the average bridal sale, the average total sale, and data on if you came in above or below a bride’s budget.
    • Note: If the customer did not have a budget they are excluded from this report.
  • Off the Rack Sales – See inventory items sold ‘off the rack’ during a certain sales period. Filtering this report by user can help you track commission, filtering by department will allow you to see the average discount you are applying to your sales and the profitability of the ‘off the rack’ items.
    • Note: The cost of the sale equals the cost of the item in your physical inventory.
  • Sale by Vendor Trend – View vendor trends to better evaluate your buying and selling vendors. Here you will see sales by vendor and the quantity of items sold for each vendor by month for a one year period.
  • Item Sales Trend – View the sales of each store item by month for a one year period. Here a line graph will show you the quantity of items sold from each store item for a one year period so you can more easily see trends. Filter this report by department, vendor and store item which will allow you to see if certain items are trending up or down.
    • Pro Tip: Use this report to better evaluate when it’s time to sell them off the rack.
  • Department Sales Trend – View sales trends by department for a one year time period. Here you will see sales by department and the quantity of items sold for each department by month for a one year period.
    • Pro Tip: You can use this report to see if you have cyclical slow and busy seasons, enabling you to prepare the best marketing strategy and training opportunities for your bridal store.
  • Sizes Sold by Period of Time See your inventory % by sizes on hand versus sizes you are selling in your bridal store. Here you will see your data in two views, the first showing the # of sizes you’ve sold within a specific department and the other the quantity on hand by size per department.
    • Pro Tip: This report can be used to see if your inventory % of certain sizes on hand are matching up with the sizes you are selling in your bridal store.
  • Colors Sold by Period of Time – See your inventory % by sizes on hand versus colors you are selling in your bridal store. Here you will see your data in two views, the first showing the # of colors you’ve sold within a specific department and the other the quantity on hand by color per department.
    • Pro Tip: This report can be used to see if your inventory % of certain colors on hand are matching up with the colors you are selling in your bridal store.
  • Budget Trend – View the total and average of bride budgets that have booked at your bridal store. .
    • Pro Tip: You can use this to filter to certain appointment types and see if you have any trends in the budgets coming into the store.
    • Note(s):
      • This report only looks at the budget data IF the budget slider has been moved on a customer profile. If the slider stays at the default high it will assume there was no budget given and will not show in your averages or totals. I
      • This report only uses the highest budget number, and does not factor in the low point on the budget slider.
  • Ticket Trend – See the total of your ticket sales by month over a one year time period.
    • Pro Tip: Use this report to visually see sales/ticket trends over the course of a year and quickly see how you are trending each year in comparison to previous years.
  • Top Selling Special Order Vendor – Evaluate your bridal store’s top selling vendors by three categories. The quantity of items you sold within a time range, the total sales of items you sold, and the profit margin of a vendor.
    • Note:
      • You can filter this report by sale date OR by event date.
    • Pro Tips:
      • Use this report to see if a designers profits are where they need to be for you to continue to carry their items at your bridal store.
      • You can also use this report to see if there is a stand out vendor for brides who got married during a certain time frame!
  • Top Selling Special Order Item – Evaluate your bridal store’s top selling items by three categories. The quantity of items you sold within a time range, the total sales of items you sold, and the profit margin of a vendor.
    • Note:
      • You can filter this report by sale date OR by event date.
    • Pro Tips:
      • Filter this report by vendor and department and coupling it with the special order vendor report to see if your stand out vendor’s item sales are well rounded or if you only have one or two dresses that keep you selling that designer in your store.
      • You can also use this report to see if there is a stand out item brides purchase who got married during a certain time frame!
  • Non-Performing Report – Evaluate this report when preparing for sample sales, but can be used any time to help you see if it is time to try and sell an item off the rack or fully move it into your off the rack department. It can also help you see your inventory turnover to make sure you are letting go of dresses when they still have value.
  • Note(s):
    • You can filter this report by vendor or department, then choose “how long since last sold.
      • If you choose 6 months, the report will show you items in your store that NEVER sold and all items that HAVE NOT sold within the last 6 months.
  • Pro Tip: Use this report so you can begin to evaluate if it’s not selling because no one is putting the dresses/items on, or if buying that item was just a miss for your store/market.
  • Item Performance – Curated Styles – See all your items’ performance based on each curated style tag. Have the ability to filter by timeframe, department, vendor and specific tag.
    • You’ll be able to see whether the dress your team is picking for customers is converting more times than what the customer chooses or which favorited and most tried on items are still remain on your racks.

Marketing

  • How Heard – Evaluation – This report allows you to see how your customers are finding or hearing about your bridal store.
  • Note:
    • You can filter this report by appointment type, appointment status, ‘How Heard’ type, and department.
  • Pro Tip: Use this report to understand what marketing methods are converting for you and invest more in and which to discontinue.

  • Zip Code – Evaluation – This report will allow you evaluate the closing ration by zip code and overall where your bridal customers are coming from. Helping you to determine where you should invest your marketing dollars
  • Note:
    • You can filter this report by a specific timeframe, appointment type, appointment status, individual zip codes, and department, whether a sale was completed

  • Customer who Purchased – This report will help you see which customers have purchased.
  • Note(s):
    • You are able to sort this report by either Event Date or Sale Date.
    • You can filter this report by date, customer category, and department.

  • Customer without Purchases – This report will help you see which customers did not purchase an item.
  • Note(s):
    • You are able to sort this report by either Event Date or Sale Date.
    • You can filter this report by specific timeframe, appointment type, appointment status, threshold of purchase amount, and department, whether a sale was completed

  • Event Date Trend – This report will show you when your brides are getting married or hosting their event.
  • Note(s):
    • You can filter this report by customer category and year
  • Pro Tip: Use this report to see the trend of when brides are having their events/weddings and work backwards to know when to start marketing in the next year. If you see a lot of brides are getting married in August and you know most customers come in 8 months before they get married, it may be worth investing a portion of your budget to start to capture those bride’s attention a month or two before brides typically book.

  • Appointments Booked: Day of Week – Use this report to see what day of the week gets scheduled the most for an appointment and what day most sales are made from those appointments.
  • Note:
    • You can filter this report by a specific timeframe, appointment type, appointment status and department.
  • ProTip: See what day you should investing in to attract more brides-to-be to book. A lot of insight could be taken from this report. For instance, you could have 27% of your appointments booked on Tuesdays, but you may see that the your appointments booked on Saturdays make up only 5% of all appointments booked but has more converted sales than any other day.

  • Appointments Booked: By Month – Use this report to see which month of the year has the most scheduled appointments and most converted sales from an appointment.
  • Note:
    • You can filter this report by a specific timeframe, appointment type, appointment status and department.

Employee Evaluations

  • Closing Ratio – See individual or group closing ratios, the number of appointments (opportunities) vs number of sales made * 100. See the number of items sold and the total dollar amount of those sales.
  • Vendor Sold Trend – See which vendors are best selling by each employee and when those sales occurred.
  • Average Sales per Hour – View this report to be able to see the average sales per hours worked by each employee.
